Role: Office Administrator

Overview: The Office Administrator will be the first point of contact for guests entering the building, calling, or emailing the church. A key part of this role is ensuring the office area and kitchen are well maintained, organized and presentable to both staff and visitors. Reporting to the Lead Pastor, the Office Administrator will play a critical role in the day to day operations of the church and staff culture.
Specific Duties and Responsibilities
- Answer the phone and respond to/forward emails
- Open and close the building Tuesday through Thursday
- To be a welcoming presence for guests
- Collect and distribute incoming mail, packages, deliveries, and prepare outgoing mail
- Order items such as office supplies, hospitality inventory, etc.
- Monitor and purchase refreshments for Sunday services
- Oversee teller’s ministry, process deposits, submit information to the bookkeeper
- Pay bills and oversee office financial operations
- Provide support for EFT processing, receipt submission, year end tax receipt processing, and communication with the bookkeeper
- Be the main point of contact and project manager for all external rentals
- Update church website, calendar, and prepare weekly newsletter
- Responsible for online registrations and administrative support of church activities
- Oversee administration of Plan to Protect requirements for volunteers
- Provide administrative support to worship teams (i.e. copying, sending reminders, inputting songs into software)
- Other duties as assigned (availability for “floating” based on various needs as they arise)

Required Qualifications
- Experience working in an office and team environment
- Excellent organizational skills and ability to prioritize competing tasks independently
- Ability to work with minimal direction and employ excellent judgment and professionalism
- Excellent interpersonal, oral and written communication skills
- Strong computer and technological skills and ability to learn and use new software
- Able to maintain confidentiality
Preferred Skills and Experience
- Strong proficiency in Microsoft Office, Google Workspace, and Planning Centre
- Bookkeeping experience would be considered an asset
Terms
- 18 hours/week
- Tuesday to Thursday 9:00 - 3:00pm
- Hourly wage to be discussed
